Privacy Policy

PrologEU is a product of Carriage LLC, a limited liability company registered in Florida, USA (Oakland Park, Florida). In these documents "PrologEU", "we" and "us" mean Carriage LLC. This policy explains how we handle personal data when you visit prologeu.com, contact us, or use the PrologEU dashboard and driver app.

1. Two roles: controller and processor

Website visitors and business contacts. When you use our website forms or email us, we decide how your data is used. We are the controller for that data.

Customer fleet data. When a transport company uses PrologEU, the company decides which drivers, vehicles and tachograph data are entered. For that data the transport company is the controller and we are its processor, acting only on its instructions under our Data Processing Agreement. Drivers who want to exercise their rights over that data should first contact their employer. Data about drivers is provided by their employer or recorded by tachographs and the PrologEU app.

2. What data we process

• Contact and quote requests: name, company, work email, phone, country, fleet size, the modules you are interested in and your message.
• User accounts: name, email, role, company, login and security information.
• Driver and fleet data (as processor): driver identity and card details, tachograph activity data (driving, work, availability, rest), vehicle data, positions recorded by smart tachographs or the app, documents uploaded by the customer, loads, inspections, maintenance and fuel records, and route-planning requests.
• Technical data: IP address, device and browser information and server logs needed to run and secure the service.

3. Why we use it and on what legal basis

• To answer requests, prepare quotes and run trials: steps before a contract and our legitimate interest in responding (Art. 6(1)(b) and (f) GDPR).
• To provide the PrologEU service to customers: performance of our contract with the customer (Art. 6(1)(b)), and processing on the customer's instructions for fleet data (Art. 28).
• To keep the service secure and fix problems: legitimate interest (Art. 6(1)(f)).
• To meet legal obligations such as accounting: Art. 6(1)(c).

We do not sell personal data and we do not use it for advertising.

4. Where data is stored and who helps us

Fleet and tachograph data is stored with Amazon Web Services in Frankfurt, Germany. We use these service providers (sub-processors):

• Amazon Web Services (EU, Frankfurt): hosting, database, file storage and transactional email.
• HERE Technologies: route planning and address search. Route requests include the start and end points and the vehicle's dimensions.
• Google: maps displayed in the app.
• Namecheap: hosting of this website and our email.
• Telematics providers such as Geotab: only if the customer connects its own account for remote download.

Carriage LLC is based in the USA. Where personal data is accessed from or transferred outside the EU/EEA, we use appropriate safeguards such as the European Commission's Standard Contractual Clauses.

5. How long we keep data

Contact and quote requests: up to 24 months after our last contact, unless you become a customer. Customer data: for the duration of the contract and as instructed by the customer, including any retention periods that transport law requires the customer to keep, then deleted or returned. Server logs: up to 90 days.

6. Your rights

You have the right to access, correct, delete, restrict or object to the processing of your personal data, and to data portability. Where processing is based on consent, you can withdraw it at any time. To exercise your rights, write to support@prologeu.com. You also have the right to complain to a data protection supervisory authority in your EU country.

Giving us your contact details is voluntary, but without them we cannot answer your request. Customers need to provide account details to use the Service.

We do not make decisions based solely on automated processing that have legal or similarly significant effects on you. Remaining-time calculations and infringement warnings are information for drivers and their employer, who decide how to act on them.

7. Cookies

This website does not use advertising or analytics cookies. The dashboard uses only what is technically necessary to keep you logged in.

8. Security

Connections are encrypted with HTTPS, company data is separated and access is limited by role. See Security & GDPR.
